Main Exhibits Program

The Main Exhibits Program has been an integral part of ABRCMS since its inception in 2001.  It is with the support and participation of excellent exhibitors that ABRCMS is able to attract high caliber students.

On behalf of our student attendees, we ask academic institutions, organizations, foundations, professional societies and federal agencies that offer services and programs for minority students in the biomedical and behavioral sciences, including mathematics, to showcase information of fellowships, graduate and postdoctoral opportunities, an student membership opportunities.

General Registration for the ABRCMS Exhibits Program will

open at 12:00 p.m. on Wednesday, March 31, 2010.              

Benefits

  • Allows academic institutions, organizations, foundations, professional societies, and federal agencies to recruit & promote opportunities to undergraduate, postbaccalaureate, & master's-level students
  • Provides a forum for undergraduate, postbaccalauerate and graduate students to present their research, receive feedback on their research and presentation skills, & develop networking skills

 

Registration Fees for Main Exhibits Program

Premier Exhibit Booth (shaded area on floorplan):  $1800

Prime Exhibit Booth (non shaded area on floorplan) :  $1500

Price include one conference registration and are set based on location in the exhibit hall. Booths are available on a first-come, first-serve basis.

If you choose to share an exhibit booth with another department or institution, please coordinate your request with ABRCMS staff prior to submitting your contract. ABRCMS reserves the right to determine final exhibit booth assignments.

Exhibition Provisions for Main Exhibits Program

The ABRCMS exhibition registration fee includes:

  • Conference registration for one individual (the primary attendee listed on the contract will be registered by ABRCMS staff). Booth fee includes all conference materials, all planned meals, closing banquet, refreshment breaks, and access to all sessions.
  • 10' x 10' exhibit space (8' backdrop and 3' dividers)
  • 10' x 10' carpet in exhibit space
  • One 6' table with skirt, two chairs, and one trash can
  • Identification sign in exhibit space (limited to 80 characters, including spaces)
  • Program description in the exhibitor guide (limited to 1000 characters or less, including spaces)
  • Institution URL on ABRCMS web site (if provided on contract)
  • Invitation to Non Student Exhibitor Reception on Friday, November 12
  • Invitation to Networking Mixer for Graduates & Postdocs on Wednesday, November 10
  • General Security service
  • Daily aisle maintenance and cleaning
  • Access to exhibitor lounge during exhibit hours (coffee and tea provided)
  • Access to the online abstract database available from October 1- December 31

 

How to Reserve an Exhibit Booth in the Main Hall

Steps for Reserving a Booth:

  • Complete the Main Exhibit Booth Contract-Available March 31, 2010.

General Guidelines

  • All contracts must be typed, (handwriting can be illegible on faxes)
  • Exhibit booths are assigned on a first-come, first-served basis
  • Booths are confirmed only when payment is received. Until full payment is received, booth assignments are temporary and can be released
  • If your choices have already been assigned to another exhibitor, the next best location will be assigned to you
  • Although we do not guarantee do to so, ABRCMS will attempt to honor all requests for specific booth assignments.

Submitting Payments:

  • Purchase orders are NOT an accepted form of payment.
  • Check payment must be received within two weeks of contract submission, booth assignments will not be confirmed until payment is received
  • Only payments in the form of check, money order, or credit card will be accepted.
  • Make checks or money orders payable to the American Society for Microbiology or ASM.
  • ASM’s federal Tax I.D. number is 38-1616141.
  • Mail payment to ABRCMS Exhibits, ASM/Education Dept, 1752 N Street NW, Washington, DC 20036

Confirmation:

A confirmation letter and receipt of payment will be sent within two weeks of acceptance of an exhibit contract and payment.
