Registration Policies

Please read carefully. By registering for the conference, you agree to the following policies:

Cancellation/Refund Policy

Cancellations must be requested in writing by Oct. 18, 2019 using the cancellation form. Cancellations received by Oct. 18, will receive a refund minus a $100 processing fee per registration. Refunds will NOT be processed after Oct. 18.

Discount versus Onsite Registration Policy

Discount conference rate is ONLY applied to registration forms completed and paid in full by Friday, Oct. 18, 2019. Payments received after Oct. 18 for registration forms with a “balance due” will be charged the on-site registration rate.

Substitution Policy

Substitution of registrations is permitted prior to the conference and on-site. Please complete the substitution form to process the request. Only one substitution is permitted per original registrant. The individual submitting the substitution request is responsible for all financial obligations (any balance due) associated with that substitution as well as updating any contact information.

Meal Plan

ABRCMS is pleased to include the conference meal plan with full conference registration. 

Your registration includes the following meals:

  • Wednesday: Dinner
  • Thursday: Breakfast, Lunch, Dinner
  • Friday: Breakfast, Lunch
  • Saturday: Breakfast, Lunch, Awards Banquet Dinner

Dietary Needs

If you are registering a group, be sure to confim with each individual prior to completing their registration to identify any special dietary needs. 

Working with our food and beverage vendors, we select menus that avoid shellfish, nuts, and peanuts. Despite taking every precaution, we cannot guarantee that menu items are free of trace amounts of allergens or other ingredients. 

All other allergens fall under the Americans with Disabilities Act (ADA). We ask that only those individuals that have a food allergy or medical intolerance select that option during registration and indicate which food you are allergic to. Unfortunately, we cannot accommodate non-allergy related dietary requests, such as taste preferences or specialty diets (Keto, Paleo, etc.).

Final menus will be sent to all attendees no later than Sept. 23, 2019, and you will have until Oct. 1, 2019, to review the menus and update your preferences. Unfortunately, we are not able to accommodate any dietary changes on-site and all dietary needs must be submitted by Oct. 1, 2019.

Permission to Use Photo Policy

By registering for ABRCMS, attendees hereby agree to allow ASM/ABRCMS to use any photos taken of them during the conference in news media, website, publications, articles, marketing pieces, etc. In order to protect data shared during presentations, no photos may be taken of posters or scientific session slides at ABRCMS.

Badge Policy

All ABRCMS attendees are required to wear conference badges onsite at all times. Badges give you access to sessions, exhibit hall, meals, networking mixers, and workshops. It is your responsibility to ensure that you have your badge at all times. There is a charge of $25 for badge replacement. No exceptions will be made.

Child Waiver Policy: Policies Regarding Children at ABRCMS

ABRCMS supports a family-friendly meeting and provides childcare support for parents. In order to ensure that we have enough childcare providers, you MUST indicate on your registration form that you will need childcare. Please note that if you use the ABRCMS childcare services, you will be required to pay a fee. While we are committed to providing childcare, if there is not sufficient demand, we will be unable to offer it.

If children 2 years old and over attend any portion of ABRCMS (e.g., sessions, exhibits, or meals), they must be registered for the conference, pay the conference fee, wear a conference badge and be accompanied by a parent and/or guardian at all times.

Meals. Anyone entering conference meal areas must be registered and show an ABRCMS name badge at the door. Children under age 2 may accompany their parents and/or guardians to meals as long as they are seated in a stroller or on a parent’s or guardian’s lap. There are no exceptions to this rule.

Exhibit Hall. Minors may only enter the exhibit hall if a parent and/or guardian accompanies them and signs a release (available at the registration desk) waiving ABRCMS of all liability. The release is cosigned by an ABRCMS staff member, and a copy must be presented to security staff before a minor enters the exhibit hall. Please note, no strollers are allowed in the exhibit hall.

ABRCMS reserves the right to ask parents and/or guardians of children to leave the conference for distractive, disruptive, or dangerous behavior.
