Below are the following policies ABRCMS has established for conference registration. Please read carefully.
Cancellations must be requested in writing by October 12, 2016 using the cancellation form. Cancellations received by October 12 will receive a refund minus a $100 processing fee per registration. Refunds will NOT be processed after October 12, 2016.
Discount versus Onsite Registration Policy
Discount conference rate is ONLY applied to registration forms completed and paid in full by October 12, 2016. Payments received after October 12, 2016 for registration forms with a “balance due” will be assessed the onsite registration rate.
Substitution of registrations is permitted prior to the conference and onsite. Please complete the substitution form to process the request. Only one substitution is permitted per original registrant. The individual submitting the substitution request is responsible for all financial obligations (any balance due) associated with that substitution as well as updating any contact information.
Permission to Use Photo Policy
By registering for ABRCMS, attendees hereby agree to allow ASM/ABRCMS to use any photos taken of them during the conference in news media, website, publications, articles, marketing pieces, etc. In order to protect data shared during presentations, no photos may be taken of posters or scientific session slides at ABRCMS.
All ABRCMS attendees are required to wear conference badges onsite at all times. Badges give you access to sessions, exhibit hall, workshops, socials and all meals including the closing banquet. It is your responsibility to ensure that you have your badge at all times. There is a charge of $100 for badge replacement. No exceptions will be made.
Child Waiver Policy: Policies Regarding Children at ABRCMS
ABRCMS supports a family friendly meeting and provides childcare support for both male and female parents who attend the Annual Meeting. In order to ensure that we have enough childcare providers, you MUST indicate on your registration form that you will need childcare. Please note that if you use the ABRCMS childcare services, you will be required to pay a fee. While we are committed to providing childcare, if there is not sufficient demand, we will be unable to offer it. If children two years old and over attend any portion of ABRCMS (e.g., sessions, exhibits, or meals), they must be registered for the conference, pay the conference fee, wear a conference badge, and be accompanied by a parent and/or guardian at all times.
Meals. Anyone entering conference meal areas must be registered and show an ABRCMS name badge at the door. Children under age 2 may accompany their parents and/or guardians to meals as long as they are seated in a stroller or on a parent’s or guardian’s lap. There are no exceptions to this rule.
Exhibit Hall. Minors may only enter the exhibit hall if a parent and/or guardian accompanies them and signs a release (available at the registration desk) waiving ABRCMS of all liability. The release is cosigned by an ABRCMS staff member, and a copy must be presented to security staff before a minor enters the exhibit hall. Please note, no strollers are allowed in the exhibit hall.
ABRCMS reserves the right to ask parents and/or guardians of children to leave the conference for distractive, disruptive, or dangerous behavior. For the benefit and protection of all attendees, these types of behavior will NOT be tolerated.
An attendee list will not be shared with outside organizations. Attendees will be given the option to opt-in or opt-out of receiving future emails from the American Society for Microbiology (ASM) about ABRCMS or ASM affiliated programs.
