If you are planning on attending the conference and have not secured a hotel reservation, please visit the ARES Housing link below for citywide hotel availability at non-conference rates.

 ** The ARES Housing System is a 3rd party travel planner. Rates, deposits, and cancellation policies may vary and are the responsibility of the guest. All questions on hotel policies stated or payments made on the ARES website should be directed to the ARES Reservation Center or to the hotel directly. Please note no ground transportation will be provided to the convention center.

Please beware of housing pirates. The ABRCMS Housing Bureau DOES NOT solicit services for assisting attendees with housing reservations. The only approved housing vendor is Experient-Inc. There are companies who will contact attendees offering to “assist” with hotel reservations by claiming they can get lower rates or that rooms are limited. These companies are NOT the official housing bureau and are NOT affiliated with ABRCMS in any way. If you receive a call from any company claiming to represent ABRCMS, beware this is a scam and DO NOT MAKE THE RESERVATION . ABRCMS will not be responsible for hotel reservations booked outside of the official housing block. Attendees that chose to book with a different agency or direct with a hotel, will be subject to the terms and conditions outlined for that reservation and is outside of ABRCMS's control.

All rates are negotiated to include wireless internet access, except the Marriott Tampa Waterside. The Marriott Tampa Waterside will offer wireless internet at a discounted rate of $1.00 per day. Rates listed do not include tax of 12% per night.

Reservation site is online only. All rooms are distributed on a first come, first serve basis. Book early to ensure a room.  ABRCMS has secured a finite number of rooms for the 2016 conference. Once the rooming block sells out, you are responsible for finding your own accommodations. All rooms are sold on a first come, first serve basis.

* Government rates are available, but limited and must be booked online. Government rates are only available to active duty military and federal government employees. You MUST be employed at a federal government institution in order to book the government hotel rate; U.S. Government issued active duty ID cards and travel orders are required upon check-in.

+Please note that if you book a single at the Embassy Suites and have more than one person in the room, the cost will increase to $209.

  1. Hotel reservation deadline is Monday, October 10, 2016.
  2. Federal government rates are available, but limited. All those that book government-rated rooms must provide a valid U.S. Government issued active duty ID card and travel order at check-in. All rooms booked at the government rate must be done individually through the online system.
  3. Room rates are based on single and double occupancy. Additional persons will result in a fee. We strongly discourage more than two people to one room.
  4. In order to process your reservation through this website, a valid credit card number with an expiration date through November 2016 must be provided as a guarantee. Credit cards provided through this website are only charged if you incur a cancellation within 72 hours to your scheduled arrival or reservation no-show fee.
  5. We do not accept purchase orders for hotel reservations.
  6. Duplicate reservations will automatically be cancelled unless you notify Experient-Inc. Experient-Inc. is NOT responsible for duplicate reservations.
  7. We ask that you are considerate of other attendees when booking due to the limited number of rooms available in the room block.
  8. Do not contact the hotels regarding your reservation before Monday, October 17, 2016.  Hotels will not have your reservation information until on or after this date.
  9. Once your reservation is complete, you will receive a reservation acknowledgment email within 5 business days.  If you do not, please contact Experient-Inc. immediately.
  10. DO NOT CALL THE HOTELS DlRECTLY TO MAKE RESERVATIONS. The only way to book rooms at the special event rate is through Experient-Inc.

You will need to provide a credit card in order to book your reservation, but the card will not be charged. It is only to hold the room until check-in. Credit cards provided through this website are only charged if you incur a cancellation or no-show fee.

If you would like to pay for your hotel reservation in advance by check, and booking for 10 or less rooms, please book your reservation through the reservations website FIRST using a credit card to guarantee the room. Instructions will be on your Reservation Acknowledgment email. All checks used for pre-payment must be received by October 3. If you are paying in advance by check and need to cancel a room, the cancellation must be made by October 3. Cancellations received after this date are subject to additional fees. June 8 – October 14: Changes/Cancellations can be made online through this website or by contacting Experient-Inc. IN WRITING via email.
October 14 – October 17: Changes/Cancellations are not accepted.
After October 17: Contact your assigned hotel directly for Changes/Cancellations.

Reservations pre-paid by check and cancelled after October 3 may incur additional charges and/or fees. Please review your reservations prior to this date to ensure accuracy and avoid penalties.

Reservations cancelled within 72 hours to arrival will be subject to a mandatory hotel cancellation fee in the amount of one night room and tax.

Early Departure Fee: To avoid any early departure fee, please inform the hotel upon check-in if you plan to depart earlier than your scheduled departure date.

Incidentals: A credit card, debit card, or cash deposit for incidental expenses will be required during the check-in process at the hotel. Use of a credit card for incidental expenses is strongly encouraged.

In order to receive the discounted ABRCMS rate, you must book through the official online links below. Note that based on past history, the ABRCMS room block sells out by August each year. It is important that you secure your rooms early. ABRCMS has secured a finite number of rooms for the 2016 conference. Individual Reservations - 10 or less rooms (must be made online)
Individual reservations are defined as a reservation from a single institution or individual comprised of 10 or less rooms. Reservations must be made online by October 10

Please note all rooms at the government rate must be booked individually through the online system. 

Group Reservations - 11 or more rooms
Group reservations are defined as a reservation from a single institution or individual comprised of 10 or more rooms. For group reservations, please complete and submit the group reservation form . Form must be received by October 10
