Frequently Asked Questions

 

How many conference registrations come with the purchase of an exhibit booth?

One conference registration is included with each exhibit booth purchase in the main hall. One conference registration is included with a $1,250 booth in the Postdoctoral Recruitment Fair. If you purchase a booth in both the main hall and the postdoctoral fair, you only receive one conference registration not two.  If you are the primary attendee listed on the contract for a Main Exhibit Hall booth or a full-priced Postdoctoral Recruitment Fair booth, ABRCMS staff will process your conference registration; please DO NOT register yourself separately.

Do additional exhibitors need to register for the conference?

Yes, any additional exhibitors must register separately at www.abrcms.org/page03a.html.

I have graduate students assisting me at the booth. I know I can access the exhibit hall booth 30 minutes before the hall opens to set up, but do my student helpers need to register as exhibitors to access the hall 30 minutes early as well?

NO, students assisting with the setup of your booth must be registered for the conference (as students) and have the exhibitor pass designated for students. A limited number of these passes will be available on-site.

I have graduate students assisting me at the booth. Can they attend the exhibitor reception?

No, the exhibitor reception is for non-student exhibitors, speakers, and judges. Graduate students are encouraged to attend the networking mixer for graduates & postdocs held on Wednesday, November 10 from 9:30 p.m. to 10:30 p.m.

I'm a first-time ABRCMS exhibitor. What is the typical makeup of exhibitors who staff the booths?

ABRCMS encourages a team approach to exhibiting that includes ideally one graduate dean/admissions director, one graduate student, and one research faculty member or postdoctoral student.

I am an exhibitor and have sent in my contract, where do I register for the conference?

The primary attendee listed on the exhibit booth contract will be registered by the ABRCMS staff. Our registration vendor will email the confirmation of the primary attendee's registration by October 15, 2010. Any exhibitor not listed on the on the contract must register separately online as an "additional exhibitor." For details, please visit www.abrcms.org/page03a.html

As an exhibitor, can I promote job opportunities within the sciences?

No, ABRCMS is not a career fair. Exhibitors should only promote opportunities that encourage students to pursue advanced education/training in the biomedical and behavioral sciences, including mathematics.  

How can I ship exhibit materials to ABRCMS?

Champion Exposition Services is our recommended provider for shipping materials. A service manual that includes shipping information will be e-mailed to the exhibitors prior to the conference.  All questions regarding Champion shipping policies should be directed to their toll-free line at (800) 723-1123.

Will security be provided for my personal and exhibit items during the conference?

ABRCMS provides general security service during the exhibition, especially during exhibitor set up and take down times. However, we ask that each exhibitor take precautions against theft. Do not leave materials unattended; keep personal items with you at all times, etc.

How do I cancel my exhibit booth registration?

To cancel a booth, please fill out the form found at www.abrcms.org/Cancellation.html and fax it to (202) 403-3513 or e-mail to abrcms@asmusa.org.  If you need to cancel a booth, we must have your request in writing, by Friday, October 1, 2010 in order to receive a refund minus a $200 processing fee. After October 1, no refunds will be given.
